Follow-ups

Automated email follow-ups that stay in one thread and stop the moment they reply

Most replies come from the second or third email, not the first. ReachPods sends follow-ups as replies in the same thread, only to leads who haven’t answered on any channel, with waits and conditions you choose and a re-check right before every send.

Overview

Persistence without being annoying

People are busy. A polite follow-up a few days later is often what gets the reply. But follow-ups go wrong in predictable ways: a bump sent after the prospect already answered, a “Re:” that isn’t actually a reply, three emails that look like three different senders.

ReachPods follow-ups are steps in a visual flow. Each one waits for the time you choose, is sent only if the lead hasn’t replied, and goes out from the same mailbox as a reply in the original thread, “Re:” and all. Use conditions to send openers and non-openers different follow-ups.

Every step re-checks the lead’s status right before it sends. If a reply arrived a second earlier, on email, LinkedIn, WhatsApp, Instagram or Telegram, the follow-up is never sent.

Same thread

Email follow-ups sent as replies in the same thread

Follow-up emails thread with the previous email by default: same mailbox, same thread, a proper reply. The prospect sees one conversation that reads naturally from top to bottom.

Want a fresh subject line for a later step, say a breakup email or a new angle? Turn threading off for that step only and it starts a new thread from the same mailbox.

  • Threaded by default
  • Same mailbox as the first email
  • New-thread option per step

Smart timing

Follow-up sequences that react to opens, clicks and replies

Use wait steps for simple timing, or conditions for smarter plays: replied within 3 days?, email opened?, link clicked?. Each condition can wait and moves on the moment its event arrives.

A common pattern: email 1, wait 3 days, follow-up 1 to everyone who hasn’t replied, then a different follow-up for people who opened twice but didn’t answer.

  • Wait steps and waiting conditions
  • Different follow-ups per branch
  • Event-driven, not polled

Stop on reply

A reply on any channel cancels every remaining follow-up

Replies arrive as webhooks within seconds. The lead is marked replied and every remaining step, email or otherwise, is cancelled. No “just bumping this” after a yes.

  • Near real-time reply detection
  • Cancels steps on every channel
  • Re-checked before each send

FAQ

Automated email follow-ups: questions and answers

Something else on your mind? Get started and try it on your own accounts.

How many follow-up emails should I send?

Two or three follow-ups spaced a few days apart is a common pattern. Keep each one shorter than the last and add something new each time.

Do follow-ups stay in the same thread?

Yes, by default. Each follow-up is a reply to the previous email from the same mailbox. You can start a new thread on any step.

What if the lead replies on LinkedIn instead of email?

A reply on any channel stops the sequence on every channel.

Can I send different follow-ups to people who opened?

Yes. Use the “email opened?” condition and write a follow-up for each branch.

Will follow-ups be sent on weekends?

Only if the mailbox’s working hours include weekends. Each mailbox has its own schedule and timezone.
