Overview

Why a flow beats a linear cadence

Most outreach tools give you a list: step 1, step 2, step 3, the same for everyone. Real prospects don’t behave like a list. Some accept your invitation within an hour, some never do, some open your email five times and never reply. A linear cadence treats all of them the same and wastes your best touches on people who were never going to see them.

The ReachPods campaign builder is a visual flow. Every lead enters at the start and moves through steps one at a time. Wherever you add a condition, such as invitation accepted?, email opened? or number on WhatsApp?, the flow splits and each lead follows the branch that matches what actually happened. Build a sequence in minutes, not a week

The step palette sits on the left of the canvas, grouped by channel. Drag a step onto the canvas and it snaps into place, wired to the step above it. Click any step to edit it: the message, the note on an invitation, the reaction to leave on a post, the subject line of an InMail or email.

Every step summarises itself on the canvas, so you can read a whole campaign at a glance: Visit profile → Send invitation (with note) → Accepted within 7 days? → Send message. The flow is validated as you build. Steps that aren’t connected, conditions missing a yes or no branch, waits without a timeout, empty messages, invitation notes over 300 characters and accidental loops are all flagged before you can launch.

Good campaigns get reused. Duplicate a campaign to start a variation for a new market or persona, keeping the whole flow, its messages and its settings.

Branches that wait for real signals

A condition is a question the engine asks about one lead: Has the invitation been accepted? Did they reply? Did they open the email? Did they click the link? Have they seen the message? Some conditions answer instantly, such as has an email address or number is on WhatsApp. Others can wait. You choose how long: “accepted within 7 days?” keeps the lead at that step until LinkedIn reports the acceptance, or until the seven days run out.

Waiting conditions are woken by real events, not polled once a day. When an acceptance, reply, email open or link click arrives, the lead moves on within moments. The same goes for read receipts on LinkedIn, WhatsApp and Instagram, which power the message seen? condition.

Waits are measured in the campaign’s own schedule. When you pause a campaign, every lead’s clock pauses with it, so a seven-day window doesn’t quietly expire while you were fixing a typo.

One template, a different message for every lead

Every message field accepts {{variables}} from the lead record: first name, company, title, location, industry, company size and any custom field you imported. Spintax such as {Hi|Hello|Hey} picks a variation per lead, so two hundred messages don’t look like one message sent two hundred times.

Can one campaign use LinkedIn, email and WhatsApp together?

Yes. A single flow can mix LinkedIn, email, WhatsApp, Instagram and Telegram steps. Each lead keeps one sender per channel, so the conversation stays in one inbox.

What happens when a lead replies in the middle of a sequence?

The sequence stops for that lead immediately, on any channel. Even if a step was about to run, the reply wins: every action re-checks the lead’s status right before it is sent.

How long can a condition wait?

You choose the window per condition, for example “accepted within 7 days?”. The lead moves on as soon as the event arrives, or takes the “no” branch when the window ends.

Can I edit a campaign while it is running?

You can pause a campaign, adjust it and resume it. Lead clocks are shifted by the length of the pause so waiting windows don’t expire while it is paused.

Do I need a template library?

No. Start from a blank canvas or duplicate an existing campaign. Most teams keep three or four proven flows and duplicate them per persona or market.

How fast do steps run?

At most one provider action runs per lead at a time, followed by a random 3 to 12 minute gap before the next action, inside each sender’s working hours and daily limits.
